INTRODUCTION
1.1 Background of the Study
Kings Car Hiring is a rental car management service Company that offers services such as car hiring to different Customers according to their desires. It was formed on self-help basis and got registered in by Corporate Affairs Commission (CAC) Anambra State. Because of the advancement of technology, the Company has found it viable to introduce a computerized system that should lead to high speed, accuracy and efficiency in daily activities. In addition, a centralized database has become a better choice. From the standpoint of practicality in today’s business setting, Kings Car Hiring Company is hiring to come up with an online database management system that can offer more speed and flexibility.
Centralizing the online database by integrating it according to a business or end-user defined subject area and having the ownership moved to the owners of the subject area can solve the problem of database failure and business stoppage.
Online car rental system is vital and Kings Car Hiring Company does not possess one, which lead to complexity, uncertainty and required judgments, insight and much inter-personal skill to carry out their tasks. Information flows are essential and so there should be very much reliance on computer dominated systems. In other words, Kings Car Hiring Company needed control system with feedback, which were essential in carrying out the monitoring role. There is need for management information systems in order to obtain information about the environment by scanning and information gathering process (Lucey, 2018). This is done to identify potential threats and opportunities. Having no management information system left the organization unprepared for risk and this exposed it to greater disaster.
An Information System like an online car rental system can therefore be looked at as a collection of machinery, people and methods used to accomplish functions. Managers at this level are concerned with the implementation and control of day-to-day activities of the organization and hence the absence of management information systems which made the organization vulnerable to risk. This is so because effective and efficient information processing is very essential since controls are numerous, monitoring is constant, data volumes are quite high and immediate response is needed.
The manual file system is extremely slow and time consuming; therefore Kings Car Hiring Company needs to replace the manual file system with a computerized online car rental system to match the day to day increasing volume of transactions. Due to the increased number of customers, the organization needs to provide accurate, fast and reliable information. And this can only be attained by computerizing the organization’s operations; therefore the organization has to shift from the manual system to a computerized online car rental system that could help improve storing, retrieving, updating, advertising and deleting unwanted necessary records (Dominick, 2020)
- Statement of the Problems
For a system to require some modification or replacement or enhancement, there must be some existing problems associated with the old or existing system that prompted to it. This organization faces numerous problems due to the manual methods of recording which may include:
- Time consuming, it takes a long time to process data concerning the car rental information and this leads to delay in the delivery of the car, mistakes are made in the receipt/invoice given to customers.
- It’s difficulty in determining when the branch is running out of car.
- If customers wanted to make a booking, it required them to physically move to Kings Car Hiring Company premises and make a booking.
- Mistakes are made during calculations of car rental.
- Loss of record: Information and records stored in cabinets could be physically damaged or due to lack of backup or lost due to theft.
1.3 Aim and Objectives of the Study
The main aim of this project is to design and implement an online car rental system for Kings Car Hiring Company. In achieving this, the specific objectives were formulated as:
- To provide a unified database to store car rental records.
- To keep proper records of all car rental transactions in the company.
- To develop a system accurately calculate all transactions made on daily basics.
- To ensure data security by restricting access to the program and to the database.
- To ensure easy access and retrieval of data in the program.
- Significance of the Study
The study enhanced on our knowledge, skills and abilities in systems development and management. It also enhanced on our social behavior through the social interaction with the system users in a bid to identify the user requirements. The system ensures data consistence and easy generation of records; storage and retrieval of stored information hence ensure security of data. The system also reduces management costs through decreasing paper work and time. The report could be used as a ground for future research and further help to narrow the knowledge gap on the better information.
1.5 Scope of the Study
The study is carried out specifically at Kings Car Hiring Company, Anambra State. The study mainly concentrated on the development of the centralized online car rental system that helps in processing, advertising and keeping track of information from the customers.
1.6 Limitations of Study
In the course of carrying out this research work a number of problems were encountered.
- Lack of adequate fund to finance the project: this was another limitation to this work because much money is needed to carry out a detailed research work which is not easily borne by every student.
- The limited knowledge of ASP.net and Visual Basic programming was great challenge to this project. However, more research was made to complete this project successfully.
1.7 Definition of Terms
Automation: it is the replacement of human workers by technology; a system in which a workplace or processes has been converted to one that replaced or ministries human labor with electronic or mechanical equipment.
Data processing: it is defined as the entire process of converting or manipulating data into definite meaningful information (Adigwe, & Okoye, 2018).
Data Security: Data security prevents unauthorized users from viewing or updating the database by the use of passwords.
Data: is any collections of vital information that meant to be processed.
Database Management System (DBMS): it is software which controls the flow of data and checks and checks on how data are stored.
Database: is an organized /unique collection of related files. It is a collection of schemas, tables, queries, reports, views and other object.
Design: is the art or process of designing how something will look, work.
Documentation: material that provides official information or evidence that serves as record; written specifications and information that describes the product.
Information: is a processed data that can be read and understand.
Management: it is act of getting people together to accomplish desired goals and objectives using available resources efficiently and effectively. It includes planning, organizing, staffing, leading or directing, and controlling an organization or a system to accomplish a goal.
Rental: It is an arrangement to rent something, or the amount of money that you pay to rent something.
Security: This helps to prevent unauthorized users from illegally accessing certain data within the database, it protects your data/ files.
Software: is a program or a set of programs written to carry out some task in the computer, it also perform logical related programs that works together to control the hardware.
System: It is the collection of hardware and software, data information procedure and people
